Settings¶
The TMS Settings page is where administrators configure system-wide behavior -- automation rules, carrier requirements, availability statuses, payment types, and more. Only users with the TMS Admin role can access this page.
Getting There¶
- Click the Settings icon in the top navigation bar. Settings is a standalone top-level menu, not nested under any other menu.
- The TMS Settings page opens with all configuration blocks listed top to bottom.
- After changing any setting, click Save at the top of the page to apply your changes.
Tip: Driver Availability Statuses, Truck Availability Statuses, and Payment Types are also accessible directly as sub-menu items under the Settings icon in the navigation bar, so you can jump to them without opening the main Settings page first.
Configuration Blocks¶
Invoicing¶
Controls whether invoices are created automatically when shipments are completed.
| Setting | What It Does |

| Auto-create Invoices | When enabled, a draft invoice is automatically created the moment a shipment moves to Completed status. When disabled, you create invoices manually from the Uninvoiced Shipments list. |
When to enable: Turn this on if your billing process is straightforward and every completed shipment should be invoiced immediately. Leave it off if you need to review shipments before invoicing or if you batch invoices on a schedule.
Settlements¶
Controls whether settlements are created automatically when legs are completed.

| Auto-create Settlements | When enabled, a draft settlement is automatically created for each leg when it is completed. When disabled, you create settlements manually from the Unsettled Legs list. |
When to enable: Turn this on if every completed leg should generate a carrier payment right away. Leave it off if you review or batch settlements before paying carriers.
Carrier Activation¶
Controls the requirements carriers must meet before they can be activated in the system.
| Setting | What It Does |

| Require Insurance for Activation | When enabled, carriers must have valid cargo and liability insurance on file before they can be activated. If a carrier's insurance is missing or expired, the system will prevent activation. |
When to enable: This is on by default and recommended for most operations. Only disable it if you have a separate insurance verification process outside the TMS.
Expiration Reminders¶
Sends automatic reminders when carrier, driver, or truck documents are approaching their expiration date.
| Setting | What It Does |

| Expiration Reminders | Master toggle. When enabled, a daily background job checks for expiring insurance policies, licenses, and registrations and creates activity reminders for the designated recipients. |
| Reminder Recipients | The users who will receive reminder notifications. Appears after you enable the toggle. You can add multiple users. |
| Reminder Threshold (Days) | How many days before expiration the system starts sending reminders. Default is 30 days. Appears after you enable the toggle. |
Example: If you set the threshold to 30 days and a carrier's cargo insurance expires on April 15, the assigned recipients will get a reminder activity on March 16.
Carrier Configuration¶
Manage the predefined status labels and payment methods used across carrier, driver, and truck records.
Availability Statuses¶
These are the status labels that appear in the Availability Status dropdown on driver and truck records (for example, "Available," "On a Load," "Off Duty").

Tags & Categories¶
Manage the labels used to categorize settlements and deductions for filtering and reporting.

Accessorial Charges¶
Manage the types of extra charges that can be added to legs (for example, Detention, Lumper, TONU).

Tips & Common Questions¶
I changed a setting but nothing seems different. What happened? Make sure you clicked Save at the top of the page. Settings are not applied until you save.
Can I turn off auto-create invoices for just one shipment? No. The auto-create settings are system-wide -- they apply to all shipments or all legs. If you need manual control for specific cases, leave the setting off and create invoices individually from the Uninvoiced Shipments list.
What happens to existing records if I change a setting? Changing a setting only affects future actions. For example, turning on Auto-create Settlements will not retroactively create settlements for legs that were completed before the setting was enabled.
Who receives expiration reminders? Only the users listed in the Reminder Recipients field. If no users are selected, the reminders will not be sent even if the toggle is on.
