Stops

A stop is a single pickup or delivery point on a leg's route. Every leg has at least one pickup stop and one delivery stop. Stops are how the system tracks what happens at each location along the way -- when the driver arrived, when they left, and whether the freight matched what was expected.

Overview

Each stop belongs to a leg and represents a physical location where the driver must pick up or drop off freight. Stops are completed in order -- the driver works through them from first to last, checking in when they arrive and checking out when they leave. The system uses this information to track the leg's progress and flag any problems automatically.

Getting There

  1. Open Loads from the home screen.
  2. Click Legs in the navigation bar.
  3. Open any leg by clicking its row.
  4. Click the Stops & Routing tab to see all stops on this leg.
  5. Click any stop row to open the Stop Info popup.

How It Works

Stop Types

Every stop is one of two types:

  • Pickup -- Where the driver loads freight. At checkout, the driver records the piece count, weight, and uploads a Bill of Lading (BOL). They can also attach photos of the freight.
  • Delivery -- Where the driver unloads freight. At checkout, the driver records the piece count, weight, uploads a Proof of Delivery (POD), and enters who signed for the shipment.

Stop Fields

Each stop tracks the following information:

Field Description
Location The physical address where the stop takes place.
Company Name The business name at this location (shown on paperwork).
Stop Type Pickup or Delivery.
Scheduled Start Time Earliest time the driver should arrive.
Scheduled End Time Latest acceptable arrival time.
Pieces Expected number of handling units (pallets, crates, boxes).
Weight Expected weight in pounds.
BOL Required When enabled, the driver must upload a Bill of Lading at pickup checkout. If the BOL is missing, the stop is flagged for attention. Only applicable to pickup stops -- setting this on a delivery stop raises an error.
POD Required When enabled, the driver must upload a Proof of Delivery at delivery checkout. If the POD is missing, the stop is flagged for attention. Only applicable to delivery stops -- setting this on a pickup stop raises an error.
Sales Person The salesperson assigned to this stop. Hidden by default in the list view, but available for searching and grouping.
Notes Any special instructions for this stop.

Stop Lifecycle

Every stop moves through a series of statuses as the driver works through the route. Here is the full lifecycle:

Not Started --> In Transit --> Next Stop --> Checked In ---> Checked Out

Status What It Means
Not Started The stop has not been reached yet. Stops further down the route start here.
In Transit The driver is on the road heading toward this stop.
Next Stop This is the next stop the driver will reach.
Checked In The driver has arrived at the location.
Checked In - Attention Required The driver attempted to check out, but something did not match -- for example, the piece count or weight was different from what was expected, or a required document was missing. A dispatcher must review and approve before the stop can be marked complete. Referred to as "Attention Required" below for brevity.
Checked Out The stop is done. The driver has left the location and everything is confirmed.

When a stop is fully checked out (not flagged for attention), the next stop in sequence automatically moves to In Transit. If the stop is flagged as Attention Required instead, the next stop will not activate until the discrepancy is resolved and the stop moves to Checked Out.

Check-In Workflow

Using the Check-In Wizard

  1. Open the stop's popup from the leg form.
  2. Click the Check In button (only visible when the stop is In Transit or Next Stop).
  3. The Check In wizard opens and shows the stop name, company, location, and timezone.
  4. Confirm or adjust the Actual In Time. It defaults to the current time. The time cannot be set to a future time.
  5. Optionally add any Notes about the arrival.
  6. Click Check In to confirm.

What Happens When You Check In

  • The stop status changes to Checked In.
  • The actual arrival time is recorded on the stop.
  • A check call is automatically created at the stop's location (so the tracking history shows the driver arrived).
  • If the leg was in New status, it automatically moves to In Transit.

Check-Out Workflow

Checking out records the driver's departure and captures the freight details.

Using the Check-Out Wizard

  1. Open the stop's popup from the leg form.
  2. Click the Check Out button (only visible when the stop is Checked In).
  3. The Check Out wizard opens. What you see depends on the stop type:

For Pickup stops:

  1. Confirm or adjust the Actual Out Time. Defaults to the current time.
  2. Enter the Actual Pieces (number of units loaded).
  3. Enter the Actual Weight (pounds loaded).
  4. Upload a BOL (Bill of Lading) document if available.
  5. Optionally upload Pictures of Freight.
  6. Optionally enter Loading Notes (condition of freight, wait times, etc.).
  7. Click Check Out.

For Delivery stops:

  1. Confirm or adjust the Actual Out Time.
  2. Enter the Actual Pieces (number of units delivered).
  3. Enter the Actual Weight (pounds delivered).
  4. Upload a POD (Proof of Delivery) document. This is required for deliveries.
  5. Enter Signed By -- the name of the person at the delivery location who accepted the freight. This is required for deliveries.
  6. Optionally enter Unloading Notes.
  7. Click Check Out.

What Happens When You Check Out

  • The actual departure time, piece count, and weight are recorded.
  • Any uploaded documents (BOL, POD, freight photos) are saved to the stop.
  • A check call is automatically created at the stop's location.
  • An ETA recalculation is triggered for the leg if it is still in transit.
  • The next stop in sequence automatically moves to In Transit.
  • If this was the last stop and everything matched, the leg moves to Delivered.

Discrepancy Handling

When the driver checks out and the actual numbers do not match what was expected, the system flags the stop for review.

What triggers Attention Required:

  • The actual piece count does not match the expected pieces.
  • The actual weight differs from the expected weight.
  • A required BOL was not uploaded at a pickup stop (when BOL Required is enabled).
  • A required POD was not uploaded at a delivery stop (when POD Required is enabled).

When a discrepancy is detected during checkout, the stop goes to Attention Required instead of Checked Out. The reason is recorded on the stop (for example, "Piece count mismatch: expected 10, actual 8" or "BOL document required but not provided").

Approve Checkout Wizard (Pickup Stops)

A dispatcher must review and approve pickup stops that are flagged.

  1. Open the flagged stop's popup.
  2. Click the Approve Check Out button (shown in yellow, only visible for pickup stops in Attention Required status).
  3. The Approve Check Out wizard opens showing the scheduled vs. actual values side by side.
  4. Review the discrepancy. You can adjust the Actual Pieces and Actual Weight if needed (for example, if the driver made a counting error).
  5. Click Yes, confirm to approve the checkout.

After approval, the stop moves to Checked Out and the route continues normally.

Resolving Delivery Stop Discrepancies

The Approve Check Out button is only available for pickup stops. For delivery stops in Attention Required status, the Check Out button is not visible in the stop popup. The dispatcher has two options to resolve the discrepancy:

  1. Open the full stop form view (click the stop name link rather than using the popup). The Check Out button is available on the full form view for stops in Attention Required status. Correct the piece count, weight, or upload the missing POD, and submit.
  2. Undo the checkout first. In the stop popup, click Undo Check Out to revert the stop to Checked In, then click Check Out again with the corrected values.

Either approach replaces the flagged checkout with a clean one and moves the stop to Checked Out.

Undoing a Check-In

If a check-in was recorded by mistake, you can undo it.

  1. Open the stop's popup.
  2. Click Undo Check In (only visible when the stop is Checked In).
  3. Confirm the action when prompted.

The stop reverts to In Transit and the actual arrival time is cleared.

Undoing a Check-Out

If a check-out was recorded by mistake, you can undo it -- but only if the next stop has not already been checked into.

  1. Open the stop's popup.
  2. Click Undo Check Out (only visible when the checkout can be undone).
  3. Confirm the action when prompted.

The stop reverts to Checked In. The actual departure time, piece count, and weight are cleared. If the next stop had moved to In Transit, it goes back to Not Started. If the leg had moved to Delivered, it goes back to In Transit.

Stop Documents

Each stop can have documents attached to it. The document types depend on the stop type:

Document Stop Type When It Is Uploaded
BOL (Bill of Lading) Pickup At checkout. A BOL confirms what freight was loaded.
POD (Proof of Delivery) Delivery At checkout. A POD confirms the freight was received. Required for delivery stops.
Freight Photos Pickup At checkout. Photos showing the condition of the freight when loaded.

Documents are uploaded through the check-out wizard and can also be viewed later on the stop's form view.

Stops List View

In addition to seeing stops on individual leg forms, there is a standalone Stops list accessible from the Loads menu. This view shows all stops across all legs in a single table, which is useful for dispatchers managing multiple loads at once.

Columns

The list displays the stop name, sequence, type (Pickup/Delivery), location, company name, scheduled start time, and status. Optional columns for actual check-in time, actual check-out time, pieces, weight, salesperson, and leg are available through the column chooser.

Filters

Filter What It Shows
Not Started / In Transit / Next Stop / Checked In / Checked In - Attention Required / Checked Out Stops in a specific status.
Pickup / Delivery Stops of a specific type.
BOL Required / POD Required Stops where the corresponding document is required.
Today's Schedule Stops with a scheduled start time today.
Overdue Stops that are past their scheduled start time and have not been checked into yet.

Group By

You can group the list by Status, Stop Type, Location, Leg, Sales Person, or Scheduled Date to organize stops by the dimension that matters most.

Tips & Common Questions

Why can I not check into a stop? You can only check into a stop when its status is In Transit or Next Stop. If the stop says Not Started, the driver has not finished the previous stop yet. All earlier stops must be checked out before you can check into the next one.

Why did the stop go to "Attention Required" instead of "Checked Out"? The actual pieces or weight did not match what was expected. This is not an error -- it is a safety check. A dispatcher needs to review the discrepancy and approve the checkout using the Approve Check Out button. This ensures that mismatches are caught and documented.

Can I undo a check-out after the next stop has been checked into? No. Once the next stop in the route has progressed past Not Started or In Transit (meaning someone has checked into it), you cannot undo the earlier checkout. This prevents the route from getting into an inconsistent state.

What happens to the leg when all stops are checked out? When every stop on a leg is checked out (with no stops in Attention Required), the leg automatically moves to Delivered status.
